Planning a student trip is a BIG job! As a teacher, you already have a million tasks on your plate each day. The logistics of moving kids from Point A to Point B falls somewhere around 749,000… To help make the process a little easier, here are 5 reminders as you plan a student trip.

1. Safety First

Student safety is everyone’s top priority. As you plan your trip, remember some of these simple safety guidelines

  • Clearly communicate emergency procedures for transportation, hotel, theme parks, cities, etc.
  • Use communication apps like Remind or GroupMe for constant contact
  • Work with reputable security companies with vetted guards
  • Offer travel protection to each of your travelers
  • Be aware of guidelines for motor coaches and the new rules for drivers
  • Choose hotels with interior corridors and try to keep the group on one floor whenever possible

2. Fundraising

Travel is expensive! Get a jump on student payments by fundraising. There are so many exciting fundraising opportunities to meet your needs. It’s not all cookie dough and wrapping paper anymore.

3. School Board Approval

Remember that the final word on travel lies with your school board or committee. Put together a plan that includes your curricular goals, costs, safety procedures, and days of travel.

Be prepared to share your itinerary and all vendors with whom you are working. Assure the decision-makers that you are partnering with a reputable and experienced trip planner who knows the student travel industry and holds professional memberships like SYTA.

4. Parents

Parents have lots of questions when sending their offspring into the wide, wide world! They’ll want to know about chaperones, dress code, spending money, rooming buddies, food, and more. Make sure you can speak to all their concerns and anything else that pops up. For more helpful tips on how to prepare for parent questions, read on…

5. Experience Counts!

Work with a student trip planner to find the right destination or experience for your group. If you’re planning an educational experience, a student tour company will help you find destinations that are rich in history or great for STEM. A student trip planner will know about special academic programs or experiences that meet your curricular needs.

If you’re planning a band, choral or theater trip, a company specializing in performance travel is clutch. They’ll connect you with opportunities you may not be able to find on your own.

Experience really counts when you need to find reliable transportation, student-friendly accommodations or group dining. Work with a partner who knows where to go and (more importantly) where NOT to go!
